OVERVIEW

This Shipping Policy explains how orders placed through OrbitBay are processed, dispatched and delivered.

OrbitBay is an independent UK technology retailer and a trading name of Cave Direct Technology Ltd.

We aim to dispatch orders promptly and provide clear and realistic delivery information.

Delivery dates, countdowns and next-working-day delivery information displayed on our website are estimates unless we expressly confirm that a particular delivery date is guaranteed.

Please read this Shipping Policy alongside our Terms of Service and Refund and Returns Policy.

SECTION 1 — DELIVERY AREA

We deliver to supported addresses within the United Kingdom.

Delivery availability is confirmed during checkout after you enter your delivery address.

Some remote locations, islands, offshore destinations, Northern Ireland addresses or restricted postcodes may:

  • Require additional delivery time.
  • Have a limited choice of delivery services.
  • Be unavailable for certain products.
  • Be subject to a delivery charge where this is clearly displayed before payment.

We do not currently guarantee delivery to PO boxes, parcel-forwarding addresses, BFPO addresses or locations that our delivery partners cannot safely or reasonably access.

If we cannot deliver to your address, we will contact you and, where appropriate, offer an alternative or cancel the affected order and issue a full refund.

SECTION 2 — FREE STANDARD DELIVERY

We currently offer free standard delivery on eligible orders sent to supported UK delivery addresses.

There is no minimum order value for free standard delivery unless a different condition is clearly displayed on the relevant product page or during checkout.

Where an optional premium, timed or specialist delivery service is available, any additional charge will be clearly displayed before you place your order.

Free delivery promotions and delivery services may be changed or withdrawn for future orders. Any such change will not affect an order that we have already accepted on the previously stated terms.

SECTION 3 — DELIVERY ESTIMATES

For eligible products that are in stock and ready for dispatch from OrbitBay-controlled stock, our normal estimated service is:

  • Orders placed before 3pm Monday to Friday are normally dispatched the same working day for estimated delivery on the next working day.
  • Orders placed after 3pm Monday to Friday are normally processed on the next working day.
  • Orders placed at any time on Saturday or Sunday are normally processed on the next working day.
  • Bank holidays and public holidays are not treated as normal working days.

For example, an eligible OrbitBay-stock order placed before 3pm on Friday would normally be dispatched on Friday for estimated delivery on the next working day. An order placed after 3pm on Friday or during the weekend would normally begin processing on Monday, unless Monday is a bank or public holiday.

These are estimates rather than guarantees.

Next-working-day estimates may not apply to:

  • Remote or restricted postcodes.
  • Unusually large or heavy products.
  • Pre-order or back-ordered products.
  • Supplier New products.
  • Products requiring additional testing or preparation.
  • Products with a different delivery estimate stated on their product page.

Where a different delivery estimate is displayed on the relevant product page or during checkout, that specific estimate takes priority over the general estimates in this policy.

SECTION 4 — ORDER CUT-OFF TIMES

Our standard order cut-off for eligible OrbitBay-stock products is 3pm Monday to Friday.

The cut-off applies only where:

  • The product is shown as available and ready for dispatch.
  • The order is placed before the applicable cut-off.
  • Payment has been authorised.
  • Any necessary fraud-prevention, security or address checks have been completed.
  • The delivery address is supported by the relevant delivery service.
  • Our warehouse and relevant delivery partners are operating normally.

An order placed before the stated cut-off may occasionally require additional processing where:

  • The delivery address is incomplete or requires confirmation.
  • Payment, identity or security verification is required.
  • The order contains products stored at different locations.
  • The product requires additional preparation or testing.
  • The order is unusually large or requires specialist handling.
  • Circumstances outside our reasonable control affect dispatch.

Supplier New products or other products fulfilled from a different location may have a different cut-off time. Where applicable, the delivery information displayed for that product or during checkout will take priority.

SECTION 5 — ORDER PROCESSING

Orders are processed after payment has been authorised and any necessary security, fraud-prevention or address checks have been completed.

Adding a product to your basket does not reserve that product.

You will normally receive an order acknowledgement after placing your order.

This confirms that we have received your order but does not necessarily mean that the order has been accepted or dispatched.

When your order is dispatched, we will normally send a dispatch confirmation containing any available tracking information.

Please check your email address, telephone number and delivery details carefully when placing your order.

SECTION 6 — ORBITBAY-CONTROLLED STOCK

Products described as New, Like New or Refurbished are normally dispatched from OrbitBay-controlled stock unless the relevant product page expressly states otherwise.

OrbitBay-controlled stock may be dispatched from our main fulfilment location or another fulfilment location used by OrbitBay.

Where an OrbitBay-stock product is eligible for estimated next-working-day delivery, the relevant estimate will be displayed on the product page or during checkout.

Unless expressly stated otherwise, the seller remains Cave Direct Technology Ltd trading as OrbitBay.

SECTION 7 — SUPPLIER NEW PRODUCTS

Products described as Supplier New are new products sourced through our UK distribution network.

A Supplier New product may be dispatched directly to you by a UK distributor, supplier or fulfilment partner used by OrbitBay.

Supplier New products may have different:

  • Order cut-off times.
  • Processing times.
  • Delivery estimates.
  • Tracking arrangements.
  • Packaging or dispatch documentation.
  • Fulfilment locations.

The delivery estimate displayed on the relevant product page or during checkout takes priority over a general delivery estimate in this policy.

Unless expressly stated otherwise, your contract of sale remains with Cave Direct Technology Ltd trading as OrbitBay, even where a distributor, supplier or fulfilment partner physically dispatches the product.

SECTION 8 — SPLIT DELIVERIES

An order containing multiple products may be delivered in more than one parcel.

This may happen where:

  • Products are stored at different fulfilment locations.
  • Part of the order is fulfilled by a distributor or supplier.
  • Products have different processing or preparation times.
  • Products require different delivery services.
  • Splitting the delivery allows part of the order to arrive sooner.

You may receive separate dispatch emails and tracking numbers for individual parcels.

You will not be charged an additional standard delivery fee merely because we choose to divide an order into multiple deliveries.

SECTION 9 — TRACKING

Where tracking is available, it will normally be sent by email after dispatch.

Tracking information may not update immediately after a parcel is collected. Please allow time for the courier to scan the parcel into its network.

Tracking information and estimated delivery dates supplied by a courier may change while a parcel is in transit.

If tracking has not updated for an unusual period or the estimated delivery date has passed, please contact us at hello@orbitbay.co.uk.

SECTION 10 — DELIVERY ADDRESSES

You are responsible for providing a complete and accurate delivery address.

Please ensure that your delivery information includes, where applicable:

  • The recipient's full name.
  • A complete building number or name.
  • The correct street and locality.
  • The correct postcode.
  • Any business, unit, floor or access information required for delivery.
  • A valid telephone number where requested.

Please contact us as soon as possible if you notice an error in your delivery address.

We will try to correct an address before dispatch where reasonably possible, but we cannot guarantee that changes can be made after an order has entered processing or has been handed to a delivery provider.

For fraud-prevention and security reasons, we may be unable to redirect an order to a materially different address after payment has been authorised.

Where incorrect or incomplete address information causes a parcel to be delayed or returned, we may ask you to confirm the correct details before arranging redelivery.

SECTION 11 — DELIVERY TO A NEIGHBOUR, SAFE PLACE OR COLLECTION POINT

Depending on the courier, product and delivery service, you may be offered the option to nominate:

  • A neighbour.
  • A safe place.
  • A collection point.
  • An alternative delivery date.

Any delivery preference is subject to the relevant courier's service terms, security procedures and assessment of whether the location is appropriate.

Where you expressly instruct or authorise the courier to deliver to a nominated neighbour, safe place or collection point, delivery to that location may be treated as delivery in accordance with your instructions where applicable.

High-value or security-sensitive products may require:

  • A signature.
  • A delivery PIN.
  • A delivery photograph.
  • An identification check.
  • Direct handover to the recipient.

Such products may not be eligible for unattended delivery.

SECTION 12 — MISSED DELIVERIES

If nobody is available to receive a delivery, the courier may:

  • Attempt delivery again.
  • Provide instructions for rearranging delivery.
  • Deliver to an authorised neighbour or safe place.
  • Take the parcel to a local collection point.
  • Return the parcel to us after unsuccessful delivery attempts.

Please follow any courier instructions promptly.

If a parcel is returned because delivery could not be completed, we will contact you to discuss the available options.

Where delivery failed because of an incorrect address provided by the customer, refusal to accept delivery or failure to collect the parcel, we may recover reasonable additional delivery or return costs where permitted by law.

Nothing in this section removes or restricts any statutory cancellation or consumer right.

SECTION 13 — DELIVERY DELAYS

Delivery times are estimates unless we expressly agree that delivery by a particular date is guaranteed or legally essential to the contract.

A delivery may be delayed by circumstances including:

  • Severe weather.
  • Courier network disruption.
  • Road closures or transport disruption.
  • Bank or public holidays.
  • Strikes or industrial action.
  • High seasonal demand.
  • Incorrect or incomplete delivery information.
  • Security or fraud-prevention checks.
  • Supplier or distribution delays.
  • Events outside our reasonable control.

If a delivery is delayed, we will take reasonable steps to obtain an update from the relevant courier, distributor, supplier or fulfilment provider.

Unless a different delivery period has been expressly agreed, consumer orders will be delivered without undue delay and normally no later than 30 days after the contract is formed.

If we cannot deliver within an agreed or legally required period, you may have the right to cancel the affected order and receive a refund.

Nothing in this section limits your statutory consumer rights.

SECTION 14 — LOST PARCELS

If tracking shows no meaningful progress or you believe a parcel has been lost, please contact OrbitBay.

We may need to raise an investigation with the relevant courier before confirming that a parcel has been lost.

During an investigation, we may reasonably ask you to:

  • Confirm the delivery address.
  • Check with other household members.
  • Check with reception, building management or neighbours.
  • Check any nominated safe place or collection point.
  • Confirm whether a delivery PIN or other delivery instruction was used.
  • Complete a declaration confirming that the parcel was not received.

Once a parcel is confirmed as lost, we will provide an appropriate remedy, which may include a replacement or refund depending on the circumstances.

Your rights against OrbitBay are not dependent on whether we successfully recover compensation from the courier or another fulfilment provider.

SECTION 15 — DAMAGED PARCELS

Please inspect your parcel and product as soon as reasonably possible after delivery.

If the parcel or product appears damaged, please contact us promptly and provide, where reasonably available:

  • Your order number.
  • A description of the damage.
  • Photographs of the outer packaging.
  • Photographs of the shipping label.
  • Photographs of the internal packaging.
  • Photographs of the product and reported damage.
  • The product serial number where applicable.

Please retain the product, packaging and included accessories while we investigate.

Requesting photographs or other reasonable evidence does not remove or reduce your statutory rights.

SECTION 16 — RISK DURING DELIVERY

For consumer purchases, products normally remain at our risk until they are delivered into your physical possession or into the physical possession of a person identified or authorised by you to receive them.

Different rules may apply where you independently arrange a carrier that was not offered by OrbitBay.

Courier tracking, photographs, signatures, PIN confirmations and delivery scans may be considered when investigating whether, when and where a delivery was completed.

Nothing in this section limits your statutory consumer rights.

SECTION 17 — PRE-ORDERS AND BACK-ORDERED PRODUCTS

Where we accept an order for a pre-order or back-ordered product, the estimated dispatch or delivery period will be shown on the relevant product page or communicated to you separately.

Release dates, manufacturer dates and supplier delivery dates may change.

If there is a material delay, we will contact you and, where appropriate, allow you to continue waiting or cancel the affected product for a full refund.

Nothing in this section affects any right to cancel that applies under consumer law.

SECTION 18 — BUSINESS ORDERS

Delivery arrangements for large, trade or business orders may be agreed separately in writing.

Business deliveries may require:

  • A named recipient.
  • Delivery during specified business hours.
  • Loading or site-access information.
  • Pallet or specialist courier services.
  • Additional delivery time.
  • A separate delivery quotation.

Where a separate written quotation, purchase order or business agreement expressly specifies different delivery terms, those agreed terms will take priority for that order.

SECTION 19 — INTERNATIONAL DELIVERY

Unless international delivery is expressly offered during checkout, orders placed through the OrbitBay website are intended for delivery within the United Kingdom.

Please do not use a freight-forwarding or international forwarding service without contacting us first.

Where you independently arrange onward international forwarding after delivery to a UK address, OrbitBay is not responsible for additional import taxes, customs fees, overseas restrictions or handling introduced by that independently arranged forwarding service, except where responsibility cannot legally be excluded.
