OVERVIEW

This Shipping Policy explains how orders placed through OrbitBay are processed, dispatched and delivered.

OrbitBay is a trading name of Cave Direct Technology Ltd.

We aim to dispatch orders quickly and provide clear, realistic delivery estimates. Delivery dates and countdowns shown on our website are estimates unless we expressly confirm that a particular delivery date is guaranteed.

Please read this Shipping Policy alongside our Terms of Service and Refund and Returns Policy.

SECTION 1 — DELIVERY AREA

We deliver to supported addresses within the United Kingdom.

Delivery availability is confirmed during checkout after you enter your delivery address.

Some remote locations, islands, offshore destinations, Northern Ireland addresses or restricted postcodes may:

• Require additional delivery time.
• Have a limited choice of delivery services.
• Be unavailable for certain products.
• Be subject to a delivery charge where clearly displayed before payment.

We do not currently guarantee delivery to PO boxes, parcel-forwarding addresses, BFPO addresses or locations that our delivery partners cannot safely access.

If we cannot deliver to your address, we will contact you and offer an alternative where possible or cancel the affected order and issue a full refund.

SECTION 2 — FREE STANDARD DELIVERY

We currently offer free standard delivery on orders sent to supported UK delivery addresses.

There is no minimum order value for free standard delivery unless a different condition is clearly displayed on the product page or during checkout.

Where an optional premium or specialist delivery service is available, any additional charge will be displayed before you place your order.

Free delivery promotions and delivery services may be changed or withdrawn for future orders. Any change will not affect an order that we have already accepted.

SECTION 3 — DELIVERY ESTIMATES

For eligible products that are in stock and ready for dispatch, our normal estimated service is as follows:

• Orders placed before 3pm Monday to Friday are normally dispatched the same working day for estimated delivery on the next working day.
• Orders placed after 3pm Monday to Friday are normally processed on the next working day.
• Eligible orders placed before 11am on Saturday may be dispatched for estimated delivery on Monday.
• Orders placed after 11am on Saturday or at any time on Sunday are normally processed on the next working day.
• Bank holidays and public holidays are not treated as normal working days.

These estimates apply only where the relevant delivery service is available and may not apply to remote postcodes, unusually large products, pre-orders, Supplier New products or products with a different lead time shown on the product page.

A reference to “24-hour delivery” means an estimated next-working-day delivery service. It does not mean delivery within exactly 24 clock hours and is not an absolute guarantee.

SECTION 4 — ORDER CUT-OFF TIMES

Order cut-off times apply only to:

• Products showing as available and ready for dispatch.
• Orders for which payment has been authorised.
• Orders that pass any necessary fraud-prevention or address checks.
• Delivery addresses supported by the selected courier service.
• Working days on which our warehouse and delivery partners are operating normally.

An order placed before a cut-off time may still require additional processing where:

• The delivery address is incomplete or requires confirmation.
• Payment or identity verification is required.
• The order contains several products from different locations.
• The product requires additional preparation or testing.
• The order is unusually large.
• Circumstances outside our reasonable control affect dispatch.

SECTION 5 — ORDER PROCESSING

Orders are processed after payment has been authorised and any necessary security checks have been completed.

Adding an item to your basket does not reserve that item.

You will normally receive an order confirmation email after placing your order. This confirms that we have received the order but does not necessarily confirm that it has been accepted or dispatched.

When your order is dispatched, we will normally send a dispatch confirmation email containing available tracking information.

Please check your email address and delivery details carefully when placing your order.

SECTION 6 — ORBITBAY STOCK

Products described as New, Like New or Refurbished are normally dispatched from OrbitBay-controlled stock unless the product page states otherwise.

OrbitBay-stock products may be dispatched from our warehouse or another approved fulfilment location.

Where an OrbitBay-stock product is eligible for next-working-day delivery, the relevant estimate will be displayed on the product page or during checkout.

SECTION 7 — SUPPLIER NEW PRODUCTS

Products described as Supplier New are supplied through our UK distribution network.

A Supplier New product may be dispatched directly to you by an approved distributor or fulfilment partner.

Supplier New products may have different:

• Order cut-off times.
• Processing times.
• Delivery estimates.
• Tracking arrangements.
• Packaging or dispatch documentation.

The delivery estimate shown on the relevant product page or during checkout takes priority over a general delivery estimate in this policy.

Unless expressly stated otherwise, your sales contract remains with Cave Direct Technology Ltd trading as OrbitBay, even where a distributor or fulfilment partner dispatches the product directly.

SECTION 8 — SPLIT DELIVERIES

An order containing multiple products may be delivered in more than one parcel.

This may happen where:

• Products are stored at different fulfilment locations.
• Part of the order is supplied by a distributor.
• Products have different processing times.
• Splitting the delivery allows part of the order to arrive sooner.

You may receive separate dispatch emails and tracking numbers for each parcel.

You will not be charged an additional standard delivery fee merely because we divide an order into multiple deliveries.

SECTION 9 — TRACKING

Where tracking is available, it will normally be sent by email after dispatch.

Tracking information may not update immediately after a parcel is collected. Please allow time for the courier to scan the parcel into its network.

Tracking estimates are supplied by the relevant courier and may change while the parcel is in transit.

If tracking has not updated for an unusual period or the estimated delivery date has passed, please contact us at hello@orbitbay.co.uk.

SECTION 10 — DELIVERY ADDRESSES

You are responsible for providing a complete and accurate delivery address.

Please ensure that your address includes:

• The recipient’s full name.
• A complete building number or name.
• The correct street and locality.
• The correct postcode.
• Any business, unit, floor or access information.
• A valid telephone number where requested.

Please contact us immediately if you notice an error in your delivery address.

We will try to correct an address before dispatch, but we cannot guarantee that changes can be made after an order has entered processing.

For security reasons, we may be unable to redirect an order to a different address after payment has been authorised.

Where an incorrect or incomplete address causes a parcel to be delayed or returned to us, we may ask you to confirm the correct address before arranging another delivery.

SECTION 11 — DELIVERY TO A NEIGHBOUR OR SAFE PLACE

Depending on the courier and delivery service, you may be offered the option to nominate:

• A neighbour.
• A safe place.
• A collection point.
• An alternative delivery date.

Any delivery preference is subject to the courier’s terms, security procedures and assessment of whether the location is safe and suitable.

Where you expressly instruct a courier to deliver to a neighbour, safe place or collection point, delivery to that nominated location may be treated as delivery in accordance with your instructions.

High-value products may require a signature, PIN, photograph, identification check or direct handover and may not be left unattended.

SECTION 12 — MISSED DELIVERIES

If nobody is available to receive a delivery, the courier may:

• Attempt delivery again.
• Leave instructions for rearranging delivery.
• Deliver to an authorised neighbour or safe place.
• Take the parcel to a local collection point.
• Return the parcel to us after unsuccessful delivery attempts.

Please follow the courier’s instructions promptly.

If a parcel is returned to us because delivery could not be completed, we will contact you to discuss redelivery or cancellation.

Where the failure was caused by an incorrect address, refusal to accept delivery or failure to collect the parcel, we may deduct or request reasonable additional delivery costs where permitted by law and clearly explained to you.

SECTION 13 — DELIVERY DELAYS

Delivery times are estimates unless we expressly agree that delivery by a particular date is essential or guaranteed.

A delivery may be delayed by circumstances including:

• Severe weather.
• Courier network disruption.
• Road closures or transport disruption.
• Bank holidays.
• Strikes or industrial action.
• High seasonal demand.
• Incorrect or incomplete delivery information.
• Security or fraud-prevention checks.
• Supplier or distributor delays.
• Events outside our reasonable control.

If a delivery is delayed, we will work with the courier or supplier to obtain an update and arrange delivery as soon as reasonably possible.

Unless a different delivery period has been expressly agreed, consumer orders will be delivered without undue delay and no later than 30 days after the contract is formed.

If we cannot deliver within an agreed or legally required period, you may have the right to cancel the affected order and receive a refund.

SECTION 14 — LOST PARCELS

If tracking shows no meaningful progress or you believe a parcel has been lost, please contact us.

We may need to raise an investigation with the courier before declaring a parcel lost.

During an investigation, we may ask you to:

• Confirm the delivery address.
• Check with other household members.
• Check with reception, building management or neighbours.
• Confirm that the parcel has not been left in a nominated safe place.
• Complete a declaration confirming that the parcel was not received.

Once a parcel is confirmed as lost, we will offer an appropriate remedy, which may include a replacement or refund.

Your rights against OrbitBay are not dependent on whether we successfully recover compensation from the courier.

SECTION 15 — DAMAGED PARCELS

Please inspect your parcel as soon as reasonably possible after delivery.

If the parcel or product appears damaged, please contact us promptly and provide:

• Your order number.
• A description of the damage.
• Photographs of the outer packaging.
• Photographs of the shipping label.
• Photographs of the internal packaging.
• Photographs of the product and damage.
• The product serial number where applicable.

Please retain the product, packaging and accessories while we investigate.

Requesting photographs or other reasonable evidence does not remove or reduce your statutory rights.

SECTION 16 — RISK DURING DELIVERY

For consumer purchases, products remain at our risk until they are delivered into your physical possession or the physical possession of a person identified by you to receive them.

An exception may apply where you independently arrange a carrier that was not offered by us.

Courier tracking, photographs, signatures, PIN confirmations and delivery scans may be used as evidence when investigating whether and where a delivery was completed.

Nothing in this section limits your statutory consumer rights.

SECTION 17 — PRE-ORDERS AND BACK-ORDERED PRODUCTS

Where we accept an order for a pre-order or back-ordered product, the estimated dispatch or delivery period will be shown on the product page or communicated to you separately.

Release dates and supplier delivery dates may change.

If there is a material delay, we will contact you and allow you to continue waiting or cancel the affected product for a full refund.

SECTION 18 — BUSINESS ORDERS

Delivery arrangements for large, trade or business orders may be agreed separately in writing.

Business deliveries may require:

• A named recipient.
• Delivery during business hours.
• Loading or access information.
• Pallet or specialist courier services.
• Additional delivery time.
• A separate delivery quotation.

Where a separate written quotation, purchase order or business agreement specifies different delivery terms, those agreed terms will take priority.

SECTION 19 — INTERNATIONAL DELIVERY

Unless international delivery is expressly offered during checkout, orders placed through the OrbitBay website are intended for delivery within the United Kingdom.

Please do not place an order using a freight-forwarding or international forwarding service without contacting us first.

We are not responsible for import taxes, customs fees, overseas restrictions or additional handling introduced by an independently arranged forwarding service.
